Human Resources: how to improve internal communication

Communication: what does it mean?

The sense of communication differs unambiguously from speaking. Speaking is only a mechanical action by those who do it. Communication is also to pay a particular attention to listeners. To communicate means to try to understand the other party what we mean, with words and gestures and as clearly as possible. In this last sentence we can see the two greatest communication strategies: “language” and “nonverbal language”.

Language

Communication comes when the words are combined with a voice that pronounces them. The important thing is not only what we are saying, but how we speak too. Without an expressive tone of voice, the words will vanish before reaching the listener. It is important that an operator, as well as a director, can convey their ideas with the right tone of voice. Nonverbal Language

Nonverbal language is the first form of communication that has ever existed. With the evolution of the human species, nonverbal language has been replaced by the words, but it is still today the most effective language to convey what we think. It may well say that the non-verbal language can achieve great results also without words. However, the opposite is very difficult to sustain. There are 4 basic tools of nonverbal language:

1-   Face: it’s important to look in the eyes every single person to which we are addressing in order to involve all participants in a straightforward manner. Even if they are erroneously considered irrelevant, the mouth movements play a key role in giving life to the words. The general expression of the face must to be able to transmit precise sensations, to give more attention to the pronounced thoughts.

2-   Gestures: to drive words with hand movements means to underline their importance. If you play with a pencil or with the hem of a jacket while you’re speaking, it may be a sign of insecurity and a distraction.

3-   Body Posture: the position of the body play a big role in a conversation. A firm body position puts the speaker in the condition to attract more attention.

4-   Emotional control: to control the emotions makes the speaker credible and invulnerable: two important conditions if we really want to be understood, followed and appreciated.

However, that is not all. Communication means also freedom of opinion and the speaker must to be able to predict answers and objections too.  When we express an idea to a group of people, it’s important to know perfectly what we are saying about and to have all the necessary knowledge on the subject to be able to explain and support it in every possible way.

Another step to improve the communication of a work group has the information. People informed work better, with knowledge and awareness. To be informed involves and stimulates business operators to be a winning team. Communication doesn’t know hierarchies and this is why the guidelines above are addressed to all members of a team. Communication is equally important for operators and managers, because a winning team considers recommendations and issues. Thousand eyes and thousand hands see and produce more than two, but the common goals must to be clear.
